The creme de la creme of wedding planning services.

It begins with a location scouting trip, and meeting to discuss all your wedding ideas. We orchestrate your complete WEDDING vision. We’ll put together a design package, hiring & management of wedding vendors, creation of timelines , floor plan layouts, negotiation of contracts, manage your budget, and overall direction of the entire WEDDING DAY.

Average hours of planning & coordination are around 80-100 hours.

Pre-Wedding Day

  • UNLIMITED client/planner contact/meetings
  • UNLIMITED vendor meeting (we set up and attend every vendor meetings except dress & accessory selection)
  • Unlimited contact via email/phone by appointment
  • Venue Research & selection (after understanding your vision, style & budget, PDbyJax will schedule site visits.)
  • We will assist with securing & finalizing the VENUE once you selected the perfect location
  • Full event design, theme, & concept development- we will ensure your wedding design has a cohesive feeling from the beginning to the end. Included, but not limited to invitations, floral design and décor, menus, programs, lighting, favors, table designs, linens, specialty rentals, save the dates, etc.
  • Assist with setting up alteration FITTINGS Wedding planner must be at ALL final fittings
  • Monthly email check-ins to ensure the planning is running smoothly and on track
  • Receive a general planning checklist
  • Production of a detailed Wedding Itinerary
  • Review and negotiate vendor contracts
  • Confirm arrangements; check delivery date, arrival times quantities of rentals, etc. with all vendors
  • Providing a detailed timeline that is sent one week prior to your wedding day to all vendors for review
  • Confirmation of all wedding vendors
  • Etiquette advisement, as requested
  • Invitation Assistance with wording and final proof approval
  • Invitation assembly and mailing (postage not included)
  • Budget construction & analysis
  • Budget management (tracking all payments & due dates)
  • Tracking RSVPs through a custom shared tracking form
  • Food & Beverage assistance (advising on cocktail/dinner choices)
  • Negotiate special hotel rates and room block for out of town guests
  • Assist in arranging all transportation needs
  • Favor assembly (not including cost of supplies)
  • Assemble & deliver WELCOME baskets/gift bags (not including cost of supplies)
  • Research special events & activities for out of town guests
  • REHEARSAL dinner location research & selection

Wedding Rehearsal

  • 2 Coordinators (1 planner, 1 coordinator)
  • Manage the flow and timing of the ceremony and reception exceeding no later than 11pm
  • Act as a liaison between wedding party, family members, and vendors
  • Use of the extensive Bridal Emergency Kit. We’ll be ready and available to solve any unexpected situation or emergency.

Ceremony

  • Distribute bouquets and pin flowers on attendants & family members
  • Direct photographer, videographer, musicians, rentals, florists, etc. of where to set up
  • Oversee set-up of the ceremony to make sure all commitments are fulfilled
  • Distribute final payments and gratuities as needed
  • We’ll set up all ceremony décor not handled by specific vendor (i.e. guest signing items, unity candles, programs, pictures, etc.)
  • Direct Ushers with programs and seating distribution
  • Line up and cue wedding party/musicians
  • Give marriage license to officiant & wedding ring are present
  • Collect all personal wedding items & gifts, and deliver to reception site or designated person

Cocktail Hour/Reception

  • We’ll set up all reception décor not handled by specific vendors (i.e. favors, menus, candle, cake knife, toasting glasses, escort/place cards, gifts, table design/centerpiece other than flowers, disposable camera, etc.)
  • Manage vendors set-up of reception and make sure all commitments are fulfilled
  • Line up and cue Bride, Groom and the wedding party for Grand Entrance
  • We’ll assist with band/DJ cueing of important events (i.e. grand entrance, 1st dance, parents dance, cake cutting, bouquet toss, games, etc.)
  • Cue Bride & Groom for all important events
  • Maintain & coordinate timeline for all events during the reception
  • Stay in communication with banquet staff to ensure things are going smoothly

* Package for an average guest count for up to 150 guests start at $5,000
